Reports to: Executive Director

About RIDC

The Running Industry Diversity Coalition (RIDC) works to improve inclusion, visibility, and access in running. We create pathways for people to enter both the sport and the business of running.

About the role

RIDC is seeking an organized, proactive Executive Assistant to help our Executive Director stay on top of scheduling, board communications, partner meetings, and follow-through.

This role provides dedicated support to the Executive Director. We’re looking for someone who can anticipate needs, keep details moving, and create simple systems that make a busy workload easier to manage.

What you’ll help with

  • Coordinate the Executive Director’s calendar, including scheduling meetings with board members, partners, donors, and other stakeholders.

  • Prepare meeting agendas, gather background materials, and make sure the Executive Director has what she needs ahead of calls.

  • Track action items, deadlines, and outstanding requests, including sending reminders and following up.

  • Coordinate board meeting logistics, organize materials, and maintain a calendar of board commitments.

  • Draft routine correspondence and help manage scheduling and administrative requests.

  • Arrange travel and organize itineraries and related documentation.

  • Maintain organized files and simple systems for meeting preparation and follow-through.

  • Handle sensitive information with discretion and sound judgment.

What you bring

  • Experience supporting an executive, senior leader, or similarly busy professional.

  • Strong organization and attention to detail, with the ability to manage competing priorities.

  • Clear, professional written and verbal communication.

  • The initiative to follow up, flag issues, and anticipate next steps.

  • Comfort using Google Workspace, virtual meeting platforms, and task management tools.

  • Reliability, discretion, and good judgment when handling confidential information.

  • Availability for regular coordination during weekday business hours.

  • Interest in RIDC’s mission. You do not need to be a runner.

  • Experience working with nonprofit leaders, boards, or external partners is helpful but not required.

Scope and working relationship

This role supports the Executive Director directly. Requests from other team members will be coordinated through the Executive Director to keep priorities and workload clear.

We anticipate approximately 12–15 hours per week to start. The scope, hours, and continuation will be reviewed together based on organizational needs.

To apply

Please complete our Google Form. You’ll be asked to provide:

  • Your resume or a link highlighting your relevant experience.
